SDSC AGM ZOOM Meeting Protocol
- If you've not used Zoom before, it's worth accessing the meeting with plenty of time; don't wait until the last minute as this may delay the start of the AGM

- Zoom will display slightly differently depending on your device operating system and what kind of device (e.g. a phone, tablet, laptop, PC) you are using.
- To join the meeting, select the meeting link and type in the password. This is provided in the AGM invitation. Please type in your name when prompted so the host knows who is waiting to enter the meeting; this should be recognisable, eg Ian Holden, not LaserSailor234.
- You may join a 'waiting room' initially; the host will then allow you to access the meeting. You can test out your audio and video settings whilst in the waiting room.
- It may be easier to have meeting papers available on a different device or printed out. Alternatively, set up your screen to allow you to view the meeting and your papers side by side.
- When you join the meeting you will be muted this is to reduce general background noise. You will need to unmute yourself if you are asked to speak. Please speak slowly and clearly and try not to talk over other participants. Otherwise during the meeting, please mute yourself to reduce background noise being broadcast. The host also has the ability to mute participants if they forget.
- If you hover at either the top or bottom of your screen, depending on what device you're using, you will see options to control your audio and video. "Manage Participants" will bring up a list of those in the meeting, "Chat" allows you to type in comments and to see the comments made by other participants. NB "Start Video" doesn't mean that a recording will start, it simply means your image will be visible to other participants.
- If you would like to ask a question or make a comment, use the "Chat" function. A host will keep an eye on the Chat area and ensure that questions and comments are picked up for each agenda item.
- If the connection quality is poor, try turning off WiFi on other devices being used in the house and / or turning off the video. If you turn off your video, other participants will know that you are still present and participating in the meeting as your webcam square will go black but will not disappear and your name will remain visible at the bottom of it.
- If you are unable to connect using a computer or tablet, you can dial in using the phone numbers at the end of the invitation. These are local rate numbers and you will b e charged at your normal rate.
